One Digital HR Environment for All Colleagues at Van Ameyde: Clear, Fast, and Personal

At Van Ameyde Group, we are continuously focused on innovation – not just in our services, but also in how we support our colleagues. That’s why, since early 2024, we’ve been using a new, centralized HR environment: the AFAS platform. With this, we’ve taken a major step toward simplifying, standardizing, and improving HR processes for all our subsidiaries in the Netherlands.

From Forms and Separate Emails to Smart Workflows

Previously, many HR processes were handled manually and across various communication channels. This took time and increased the chance of errors. Think of paper forms, Excel spreadsheets, manually drafted letters, and emails between HR, managers, and employees.

With the introduction of the AFAS platform, we now work with automated workflows. For example, a manager can extend a contract with just one click, the correct documentation is automatically generated, and those involved receive instant notifications. Changes in salary, hours, or leave are also handled smoothly via the system. The AFAS Pocket App makes it easy for colleagues to submit expense claims, request leave, or approve documents as a manager – right from their phone.
The result? Less administrative hassle, more clarity, and faster processing.

One Way of Working – For Everyone

A major benefit is standardization: all 14 Dutch subsidiaries of Van Ameyde now follow exactly the same working procedures. Whether you’re in the office in Rotterdam, Amsterdam, or Groningen – the processes and systems are the same. This ensures more clarity, fewer errors, and better coordination between colleagues, HR, and management.

The transition to the new system also went smoothly. Thanks to phased implementation and ample communication beforehand, colleagues were able to adapt quickly. Presentations, walk-in sessions, and clear explanations made the system largely self-explanatory.

Access to Attractive Employment Conditions – All in One Place

What makes the platform even more valuable is that colleagues now have easy insight into their employment conditions and personal arrangements. Think of the Individual Choice Budget (IKB), the lease bike program, sports and vitality offerings, and other flexible options tailored to different life stages. Everything is digitally accessible and clearly presented.

This transparency helps attract and retain employees: we not only offer attractive benefits, but we also make them accessible. Additionally, the platform helps colleagues make more informed decisions about their work and well-being, which strengthens their engagement.

Looking Ahead: From Digital Onboarding to AI Support

We’re far from finished. In the coming period, we will continue to develop the platform. We’re working on a digital onboarding page for new colleagues, employment condition pages per company, and more personalized information services. We are also exploring how AI can be smartly integrated into the system – for instance, to automatically answer HR questions or make processes even more intuitive.

Every step we take is aimed at the same goal: supporting colleagues in a way that suits this era – clear, simple, and personal.
